Assistant Project Manager

Job Responsibilities:

  • The Project Manager is responsible for the overall results of the job which include office and field management duties:
  • Enter project line items into CRM to develop project estimates, work orders, invoices, and payments
  • Review and approve job measurements and job contract submittals
  • Verify customer file is set up correctly and all contract and project documents are scanned and uploaded to CRM.
  • Prepare material order takeoffs from site measurements and place material orders with vendors
  • Schedule delivery of material orders with vendors and follow-up to ensure material is at site for install.
  • Communicate with installers to verify receipt of work orders, install date and that all materials required are at the project on the install date
  • Communicate with the client in regards to install schedule and set expectations with the client as to the process and timing.
  • Performs the management of projects to meet targeted schedules and costs; ensure rapid project close-out and turnover.
  • Oversee day to day production maximizing daily revenues; prepare monthly reports and work with the accountant to ensure all monthly reports are accurate with all relevant project data.
  • Resolve problems and issues that may arise- includes both technical and contractual.
  • Review Installer invoices, photos, job docs and associated job closeout documents for accuracy. Sign off on installer invoices for payment.
  • Manage other administrative assistants handling calls and leads. Verify lead information and appointments are being entered into the CRM properly.
  • Contribute to the development of internal processes and CRM development to minimize redundant work and maximize project efficiency.
  • Answer phone calls from potential customers (On an as needed basis)
  • Use memorized script with questions to qualify that callers meet criteria for a sales call (On an as needed basis)

Pay Rate: $12 to $14 per hour based on experience
